Necessary and transparent handling of application information

This notice explains the collection, use, overseas processing, retention and rights arrangements for participation applications.

Version date: 1 September 2026

1. Information we collect

We collect only the information required to review and follow up your chosen application type.

  • For everyone: name, email, optional mobile number, country or region, language and attendance dates.
  • For trade visitors: organization, job title, buyer role and category interests.
  • For partners: organization, partnership type, optional website and partnership proposal.
  • For public visitors: city and preferred visit date.
  • We do not collect identity card or passport numbers, supporting documents or other files through the application form.

2. Purpose and basis of processing

Information is used to receive applications, review eligibility, send status and event communications, prevent abuse and create necessary anonymized operational statistics. The form obtains separate consent through an affirmative checkbox; declining optional information does not prevent submission.

3. Overseas technical processing

The website uses Vercel and associated services hosted outside mainland China to process and store application data. Depending on the features in use, these services may include Neon, Upstash, Clerk, Resend and Vercel Blob. Before the relevant application features open, we will complete applicable legal review and impact assessment, and keep the processing entities, locations, purposes, methods, data categories, retention periods and rights channels updated on this page.

4. Retention and deletion

Unless a legal obligation or dispute requires longer retention, application personal information is deleted by default 180 days after the event. The operations console supports earlier export or deletion and records sensitive actions in an audit log.

5. Your rights

You may use the contact channel published on this page to request access, correction, a copy or deletion of your personal information, or to withdraw consent. Withdrawal does not affect processing carried out before withdrawal, but may prevent continued review or event communication.

6. Security and analytics

We use server-side validation, rate limits, idempotency controls, role-based access and auditing. Application contents are not written to frontend analytics events or public logs; analytics record only pages, calls to action, application type and success or failure outcomes.
